Imagine being able to ask your system a question just like you would ask a coworker and getting an instant answer from your business data. With Acumatica’s AI features, this is now possible.

Rather than adding another separate tool or asking teams to leave the ERP to find answers, Acumatica’s AI capabilities help bring intelligence directly into financial, operational, sales, and reporting processes.

Start With the Business Need

A good starting point is understanding that not every workflow requires the same type of AI. Some needs are best handled by monitoring tools, while others are better suited for rules-based automation. In some cases, a business user may need a system that can reason, summarize, or answer questions in plain language.

The goal is to match the tool to the situation. If the same input should always lead to the same output, a business event or standard automation may be the best fit. If the task requires judgment, interpretation, or summarization, AI can add more value.

AI Studio Brings AI into Daily Workflows

Acumatica’s AI Studio offers another way to bring AI into daily workflows. AI Studio can connect Acumatica to a large language model, such as ChatGPT, Claude, Copilot, or another provider. Once connected, teams can create prompts that use Acumatica data to generate helpful outputs.

For example, a sales team could create an opportunity summary that reviews open opportunities and provides a quick overview of status, sentiment, and next steps. A product team could use AI to draft e-commerce descriptions based on item attributes, categories, dimensions, or other product data.

These use cases show how AI can reduce repetitive work while still keeping people in control. A user can review an AI-generated summary or product description, adjust it as needed, and then decide how to use it.

Since AI Studio may send selected data to an external language model, organizations should also be thoughtful about what information is shared. Acumatica provides options such as masked data fields, and broader data policies depend on the organization’s agreement with the AI provider.

Ask Questions in Plain Language with the AI Assistant

Acumatica’s AI Assistant adds a more conversational way to interact with ERP data. Instead of navigating through screens, filters, and reports, users can ask questions in natural language.

A user might ask for the top three customers by total invoice amount over the last 12 months. The assistant can return the answer, show the source of the data, and even create a chart or pivot-style view that can be added to a dashboard.

For business users, this can make reporting and analysis feel much more accessible. They don’t have to know exactly where the data lives or how to build the report from scratch and simply begin with the question they are trying to answer. Just as important, the assistant follows Acumatica’s user security, so users only receive information they are allowed to access.

Connect Acumatica Data with Other Systems

AI can also help organizations connect Acumatica data with information from other systems. Many businesses have data in legacy systems, spreadsheets, planning tools, e-commerce platforms, or other databases. By combining those sources with Acumatica data, AI can support richer dashboards and better analysis.

For example, a vendor performance dashboard could combine current purchasing data from Acumatica with historical data from a previous system, giving teams a longer-term view of spend, price increases, and vendor trends.

Create Records with the Right Guardrails

Some organizations may also use AI to help create records in Acumatica. For example, AI could review a customer purchase order from an email attachment and draft a sales order. It could also check a serial number against sales history and warranty rules, then create a return order if the request meets the right conditions.

These workflows can save time, but they work best with guardrails such as approvals, review steps, or records created on hold.

Take a Gradual Approach

AI adoption does not need to happen all at once. Start with one clear pain point, such as transaction review, sales summaries, product descriptions, or easier reporting. Prove the value, refine the process, and expand from there.

AI in Acumatica doesn’t replace business users. It helps them spend less time searching, sorting, and rekeying information, and more time making informed decisions.
