Total Water Treatment Systems provides high-purity water services and systems to industrial, commercial, and residential customers. Its solutions include deionized water systems, ultraviolet systems, reverse osmosis systems, and water softeners.
As the company grew, its outdated software and manual processes became less effective. Total Water needed a modern ERP system that could streamline financial operations, provide easier access to information, and support the business as it continued to evolve.
“The business problem we were having was that our system was outdated and we had a lot of manual processes,” said Jared Grace, Corporate Controller for Total Water Treatment Systems. “We were looking to upgrade to a more up-to-date system that pushes new updates and is fully supported.”
Total Water’s previous system required employees to complete many tasks manually, with accounts payable being one of the most time-consuming areas.
“Our accounts payable process was 100% paper-based, all manual, matching invoices to packing slips,” Jared said.
Because invoices, packing slips, and other supporting documents were stored physically, employees needed to be in the office to access the information. This limited flexibility for the accounts payable team and made remote work difficult.
The company also paid nearly all its vendors by check, which created additional administrative work and made payment planning more challenging. Financial reporting presented another obstacle. When management asked what made up a particular number, the finance team often had to search through records before providing an answer.
Total Water wanted a system that could digitize its financial processes, reduce manual work, and give employees faster access to the details behind its financial information.
SVA Consulting introduced Total Water to Acumatica through a series of demonstrations and conversations focused on the company’s needs.
“SVA introduced us to Acumatica through a few different demos and consults to really dig into what our needs were for a system,” Jared said. “When they showed us Acumatica, it really met the needs of what we were looking for.”
Acumatica offered the cloud-based capabilities Total Water needed, including digital document storage, electronic payment options, streamlined accounts payable workflows, and detailed financial reporting.
SVA Consulting worked closely with the Total Water team throughout the implementation. Clear expectations, consistent communication, and detailed project management helped keep the project moving forward.
“SVA was always very prepared and upfront about what we needed to do on our end to make sure that we could hit our deadlines,” Jared said. “With that, it really helped make the transition seamless.”
The implementation remained on schedule throughout the process.
“I think we hit all of our target dates and exceeded all of our target dates,” Grace said. “We never had to push any of those dates back, and I give credit to SVA’s team for that.”
The SVA Consulting team also brought a strong understanding of Acumatica and how its functionality could be applied to Total Water’s operations.

With Acumatica in place, Total Water has transformed its accounts payable process.
“Through Acumatica, we now have a fully paperless accounts payable process with digital storage,” Jared said.
Invoices and supporting documents are now stored electronically, allowing employees to retrieve information without searching through paper files. The change has also expanded workplace flexibility for the accounts payable team.
“That’s really helped the accounts payable team with flexibility, adding remote work when previously our staff had to be on site at Total Water,” said Jared.
The company has also significantly changed the way it pays vendors.
“Previously, we paid almost 100% of our vendors via check,” Grace said. “With the Acumatica transition, we now pay about 90% of our vendors with ACH, which helps for planning.”
Acumatica’s drill-down capabilities have improved financial visibility as well. When management asks about a number, the finance team can quickly access the transactions and documentation behind it.
“If management has a question on what does this number make up, we’re able to drill in immediately and get our management team answers much quicker than we were able to previously,” Jared said.
For Total Water, the new system represents a major step forward in how the company manages its financial operations.
“It’s a huge upgrade from where we were at,” Jared said.
The smooth implementation also left a lasting impression on the Total Water team.
“I would gladly come back and do it all over again,” Grace said. “We’ve done software conversions here, and this has been the smoothest software conversion that we did. And I give credit to the project management and the knowledge base of SVA’s staff.”
